The Role

AAIM is seeking a Coordinator, Association Governance Operations to support the effective management and execution of the organization’s governance functions. Reporting to the Executive Office Administrator, this role works closely with volunteer leaders, councils, committees, and staff to ensure smooth governance operations, clear communication, and efficient committee administration. The position offers an opportunity to work in a collaborative environment while strengthening organizational leadership and member engagement.

Key Responsibilities

Governance and Committee Support

  • Coordinate governance activities, including preparing meeting agendas, supporting presentations, and recording minutes.
  • Facilitate communication between staff, councils, committees, and the Board of Directors.
  • Manage committee structures, rosters, volunteer appointments, and waiting lists.
  • Support annual calls for committee volunteers and leadership nominations.
  • Assist with new leader orientation activities and online community management.
  • Maintain bylaws, policies, procedures, and governance documentation.

Elections and Volunteer Administration

  • Support council elections by coordinating nominations, collecting candidate materials, and assisting with ballot preparation.
  • Update governance documents and upload materials to online communities.
  • Track volunteer leader participation within the membership database.
  • Review, code, and monitor leadership expense reimbursement requests.
  • Coordinate leadership recognition items, including plaques and gifts.

Project, Budget, and Operational Support

  • Develop project timelines and ensure governance initiatives are completed on schedule and within budget.
  • Monitor departmental expenses and prepare budget reports.
  • Ensure invoices are accurately coded and department resources are managed responsibly.
  • Identify and implement process improvements that enhance efficiency and quality.
  • Travel to meetings as required and provide additional support duties as needed.

Requirements

  • Bachelor’s degree and at least four years of experience supporting multiple nonprofit governance entities, boards, councils, or committees.
  • Previous nonprofit or association experience is essential.
  • Strong interpersonal, verbal, and written communication skills.
  • Experience coordinating agendas, meetings, and governance materials.
  • Excellent organizational skills with strong attention to detail.
  • Ability to manage multiple priorities while working independently with minimal supervision.
  • Strong analytical, problem-solving, and decision-making abilities.
  • Professionalism, diplomacy, and discretion when handling confidential and politically sensitive information.
  • Proficiency in Microsoft Office applications.
  • Excellent customer service skills.
  • Ability to travel approximately 5–10% of the time.

Desirable qualifications include experience serving as a staff liaison to boards and committees and previous experience within a professional membership organization.
